Digital platforms make it easy to collect numbers. Websites provide traffic reports, email tools count opens and clicks, and social platforms display reach and engagement.
The challenge is determining which measures help your nonprofit make decisions. A useful KPI is not simply a number that changes. It connects activity to an organisational objective.
Begin With the Decision
Before selecting a metric, ask what decision the information should support.
Are you deciding where to invest campaign budget, how to improve donor acquisition or whether a volunteer recruitment journey is working?
If no one knows what action would follow a change in the number, it may be interesting data rather than a key performance indicator.
Connect Objectives to Audience Actions
Translate broad goals into observable steps. If the objective is to increase volunteer participation, the journey might include visiting an opportunity page, starting an application, submitting it, attending an induction and becoming active.
This creates several types of measures:
- Reach: Did relevant people encounter the opportunity?
- Engagement: Did they explore the information?
- Conversion: Did they complete the intended action?
- Quality: Were applications suitable?
- Retention: Did participation continue?
No single number explains the complete journey.

Distinguish Outputs From Outcomes
Marketing outputs include campaigns launched, content published and emails sent. These demonstrate activity but not necessarily progress.
Outcomes describe what happened because of that activity: donations completed, volunteers recruited, members renewed or beneficiaries connected with a service.
Both can be useful, but reporting should make the distinction clear.
Use Context
A conversion rate without volume can be misleading. A total without comparison may be difficult to interpret.
Present KPIs with context such as previous performance, targets, audience segments or campaign costs. Avoid creating targets solely because a platform provides a benchmark.
Keep the Framework Manageable
A dashboard containing dozens of KPIs can obscure priorities. Campaign teams may require operational detail, while leadership and boards usually need a concise view of progress, risks and decisions.
The best KPIs create focus. They help your organisation understand whether marketing is reaching relevant people, inspiring meaningful action and contributing to the mission.
